If you are not able to send or receive emails in your SmarterMail account, and you are receiving errors such as 'The mailbox size limit has been exceeded and mail is being rejected,' 'Email has exceeded the 30MB Limit,' or 'This mailbox is full,' it means your email account has exceeded the space limit allotted and you will need to clear out your messages to free up your account. This tutorial will show you how to delete all of your messages properly so you can begin to send and receive emails again.
Note
3dcart Email accounts are allotted 500 MB of email storage per account. Therefore, we recommend having your email client set to download then delete messages from the server, rather than storing them on the server. You can order a larger mailbox of 1Gb or 2Gb at an additional monthly charge if required.
Generate a Report
The first step to clearing your messages is to run a report to see which folders on the account are using up the most space. To run a report for all folders, you will need to login to your SmarterMail account under the specific user.
To run a report, in the SmarterMail email console:
- Click on the Reports button
- Expand the My Reports section on the left menu
- Expand the Traffic Reports section on the left menu
- Click on the Disk Usage Report
- Take note of which Folders are using the most space for emails. The report will look similar to this:
Delete Emails
After you have generated a report to see which users are using the most space, you will need to goto EACH folder and delete your old / unused emails.
To delete emails:
- Login to the SmarterMail email console.
- Click on Email, then Inbox on the left menu.
- Check the checkbox next to all emails you do not need.
- Mouse over the Delete button and click Delete
- Go to your Sent Items folder (if you have one), and delete those items as well.
- Finally, go to your Deleted Items folder and check the checkbox next to all emails. The space will not free up until you have removed the emails from the Deleted Items folder.
- Mouse over the Delete button and click Delete.
- Repeat this process for as many users as you have in the SmarterMail account.
To Automatically clean up folders
To automatically have your folders cleaned up you can edit the default autoclean folders option.
The default AutoClean folder settings are :
Junkmail - 7 days
Deleted Items - 14 Days
Sent Items - 30 Days
Inbox - 360 Days.
To change these follow this process
- Logon to your email account
- Select Settings on the left menu.
- Open the filtering menu option and select Folder Autoclean
- Select the Overide Autoclean Folder settings for this account.
- Click the Rules Tab, by default there is no rules defined and the default rules are turned off.
- Click Add Rule, Select the folder to apply the rule to select the rule type and select ftom Size or Date.
- If you Selected date define the number of days after which the emails will be deleted and then click save.
- This folder will now be autocleaned as per your settings that you defined.
