Which Should I Use: POP3 or IMAP for Email?

When setting up an email account in Outlook, Apple Mail, Thunderbird, a mobile phone, or another email app, you may be asked whether you want to use POP3 or IMAP.

Both POP3 and IMAP allow you to receive email, but they work in different ways.

Choosing the correct option depends on how you want to access, store, synchronize, and back up your email.

What Is POP3?

POP3 stands for Post Office Protocol 3.

POP3 downloads email from the mail server to your device, such as your computer or laptop.

Depending on your email program settings, POP3 may remove messages from the server after they have been downloaded, or it may leave a copy on the server for a selected period.

POP3 is often used when you mainly manage your email from one main computer.

What Is IMAP?

IMAP stands for Internet Message Access Protocol.

IMAP keeps your email stored on the mail server and synchronizes it with your devices.

This means that if you read, delete, move, or reply to an email on one device, the change is usually reflected on your other devices as well.

IMAP is commonly used when you access the same mailbox from multiple devices, such as a computer, mobile phone, tablet, and webmail.

Main Difference Between POP3 and IMAP

The main difference between POP3 and IMAP is how your email is stored and synchronized.

With POP3, email is usually downloaded and managed by one device, ie your laptop, it kkeps a copy of your mails locally, and keeps the online mailbox clean automatically..

With IMAP, email stays on the mail server and synchronizes between multiple devices, this requires large online mailboxes, and can slow down email collection when synchronizing..

POP3 Advantages

POP3 can be useful because:

  • Email can be available on your computer even when you are offline.
  • It can use less server mailbox space if email is removed from the server after downloading.
  • It can work well if you only use one main computer for email, however it can be used on more than 1 computer, but the devices have to be setup identically, with the leave a copy on the server setting enabled..
  • Local email backups can be made from your email program, such as Outlook.
  • It is supported by most email program.

POP3 Disadvantages

POP3 also has limitations:

  • Email status does not always synchronize between devices.
  • Sent items may only appear on the device that sent the email.
  • If email is downloaded to one computer and removed from the server, other devices may not receive those messages.
  • If the computer is damaged or lost and no backup exists, downloaded email may be lost.
  • Multiple POP3 devices must be configured carefully to avoid missing email.

IMAP Advantages

IMAP can be useful because:

  • Email synchronizes across multiple devices.
  • Inbox, Sent Items, Deleted Items, and other folders can be available on all devices.
  • Webmail, phones, tablets, and computers can show the same mailbox.
  • If one device fails, email should still be available on the server.

IMAP Disadvantages

IMAP also has limitations:

  • It requires an internet connection to work properly.
  • It can use more data than POP3.
  • Large mailboxes can become slow in some email programs.
  • If you delete an email on one device, it may also be deleted from the server and other devices.
  • Your online mailbox can become full if old email is not deleted or archived.
  • Some email programs may handle IMAP folders differently, especially Sent Items and Deleted Items.

Which Option Should I Choose?

For most users today, IMAP is recommended if you use more than one device.

Use IMAP if you want your email to stay synchronized between:

  • Your computer
  • Your mobile phone
  • Your tablet
  • Webmail

POP3 may be suitable if you mainly use one computer or laptop and want email downloaded locally.

Typical Setup Recommendation

A common setup is:

PCs and laptops: POP3,  depending on how you want to manage your mailbox.

Phones and tablets: IMAP.

If you want all devices to show the same email, folders, read status, deleted items, and sent items, use IMAP on all devices, but remember you will have to have sufficient storage space online.

If you use POP3 on a computer and IMAP on mobile devices, make sure the POP3 account is configured to "leave a copy on the server, and set to 14 days or period whatever is suitable.

Important Note About Email Backups

Email backups are very important.

If you use POP3, your email may be stored mainly on your computer. You should make regular backups of your email data. ie Documents\outlook files contain the .PST files normally, these can be copied to an external drive or USB when outlook is closed for a full email backup.

If you use IMAP, your email is stored on the server, but this should not be treated as your only backup, you will need to export your mails in outlook to create a backup, this can take some time as it needs to download all mails from the servers..

For important business email, we recommend keeping your mailbox organized and making backups where needed.

Important Note About Deleting Email

When using IMAP, deleting an email on one device usually deletes it from the server as well.

This means it may disappear from your other devices too.

Before deleting email, make sure you no longer need it.

POP3 or IMAP for Outlook

If you are using Microsoft Outlook on one main computer and want to keep a local copy of your email, POP3 may be suitable.

If you use Outlook together with a phone, tablet, or webmail, IMAP is usually better on the phones and POP on the PC.

POP3 or IMAP for Mobile Phones

For mobile phones and tablets, IMAP is usually recommended.

This allows your phone or tablet to show the same mailbox as your computer and webmail.

Conclusion

POP3 and IMAP both allow you to receive email, but they are designed for different ways of working.

POP3 is often better for users who mainly use one computer and want email stored locally.

IMAP is usually better for users who access email from multiple devices and want everything to stay synchronized.
