Outlook NEW Considerations and Warnings.
In Microsoft's attempts to use and abuse customers information, they have reverted to the newest version called Outlook New,
identified by the icon looking like a small blue house with a roof.
This version of outlook works totally differently to how Outlook *Classic" works, with outlook classic your email client talks directly to our servers, NO "Middleman"
between them, this is where outlook new differs.
Microsoft injects its own servers in between your mailbox and your email client, ie Your email client talks to Microsoft servers, which in turn talks to our servers.
When you configure it, Microsoft cleverly injects itself in between your pc and the mail-servers.
This means all your mails are collected from our servers by microsofts servers and stored locally, and then your mail client collect mails from microsofts server.
This way is a nice way to keep track of the users emails and maybe even use your data for training.
This presents an issue, we cannot guarantee mail delivery to your mailbox, as now you have Microsoft in the middle of this, and any mail sending / receiving need to be checked
with Microsoft before we can actually help you. as this issue could be on microsofts servers and not ours. Using this version of outlook, is up to you, but be aware of the issues that can arise.
How to Set Up Email in New Outlook
Some newer versions of Outlook use the New Outlook interface.
Step 1 — Open New Outlook
Open: Outlook
Step 2 — Open Settings
Click: View
Then click: View settings
Step 3 — Open Accounts
Click: Accounts
Then click: Your accounts
Step 4 — Add an Email Account
Click: Add account
Enter your full email address.
Example: info@yourdomain.co.za
Click: Continue
Step 5 — Choose IMAP
If Outlook does not detect the account automatically, choose:
POP / IMAP
Step 6 — Enter the Mail Server Settings
Enter the following settings:
Incoming server: mail.yourdomain.co.za
Incoming port: POP - 995 or IMAP - 993
Incoming encryption: SSL/TLS
Outgoing server: mail.yourdomain.co.za
Outgoing port: 465 or 587
Outgoing encryption: SSL/TLS or STARTTLS
Username: your full email address
Password: your email account password
Step 7 — Save the Account
Click: Continue
Then click: Done
Your email account has now been added to New Outlook.
Important Outgoing Server Setting
If Outlook asks for outgoing server authentication, make sure this is enabled.
Select: My outgoing server requires authentication
Then select: Use same settings as my incoming mail server
This is required for sending email.
Without outgoing authentication, Outlook may receive emails but fail to send emails.
How to Test the Email Account
After setup, send a test email.
Step 1 — Send a Test Email
Click: New Email
Send an email to another address you have access to.
Example: yourname@yourdomain.co.za
Step 2 — Reply to the Test Email
From the other email account, reply back to your domain email address.
Step 3 — Check Outlook
Make sure:
- the test email sends successfully
- the reply is received in Outlook
- no password prompts appear
- no send/receive errors appear
Common Setup Problems
Outlook Keeps Asking for the Password
Check:
- the email password is correct
- the full email address is used as the username
- there are no spaces before or after the password
- the mailbox exists in DirectAdmin
- the correct mail server is being used
The username must usually be the full email address.
Example:
Correct: info@yourdomain.co.za
Incorrect: info
Outlook Can Receive But Cannot Send
Check:
- outgoing mail server is correct
- SMTP port is correct
- outgoing authentication is enabled
- username is the full email address
- password is correct
- your internet provider is not blocking SMTP traffic
Recommended outgoing settings:
Server: mail.yourdomain.co.za
Port: 465 / 587
Encryption: SSL/TLS or STARTTLS
Authentication: Enabled
Outlook Cannot Connect to the Server
Check:
- your internet connection
- your domain is active
- your hosting account is active
- the mail server name is correct
- the SSL settings are correct
- the mailbox has been created
You can also test webmail to confirm the mailbox works.
Open your browser and visit: https://mail.yourdomain.co.za or https://cp.yourdomain.co.za (Replace yourdomain.co.za with your own domain name)
Certificate Warning Appears
A certificate warning may appear if the mail server name does not match the SSL certificate.
Make sure you are using the correct mail server name supplied by your hosting provider.
In most cases, you should use: mail.yourdomain.co.za
Emails Are Stuck in the Outbox
Check:
- outgoing server settings
- SMTP port
- SMTP authentication
- internet connection
- mailbox password
- attachment size
Large attachments may take longer to send or may fail if they exceed the server limit.
Security Tips
- Keep your email password secure
- Do not share mailbox passwords with unauthorized users
- Use a strong password
- Do not save passwords on shared computers
- Avoid using public Wi-Fi when setting up email
- Be careful of phishing emails asking for your email password
- Change your password if you suspect unauthorized access

Final Notes
Once Outlook has been set up successfully, keep the account settings saved and avoid changing them unless required.
If you change your email password in DirectAdmin, you must also update the password in Outlook.
If the account stops working after a password change, update the saved password in Outlook and test sending and receiving again.
